The problem: the clinic loses calls and patients
A dental clinic makes money on appointments, and appointments start with a call. The catch is that a human front desk physically can't answer all the time: lunch, busy with a patient at the counter, end of the workday, weekends. Every unanswered call is a patient dialing the next clinic in the results.
The second pain point is the database. Every clinic accumulates hundreds of patients who haven't come in for a year or more. There's no one to reactivate them by hand: the front desk has no time for outbound calling.
A clinic owner in Brooklyn put the task simply: "I don't want to lose a single call, and I want to bring back dormant patients — but I can't staff the front desk in three shifts."
What we built in Dentovox
We developed Dentovox — an AI front desk that covers the front-desk workload 24/7. The product's capabilities:
- Answering calls in a natural voice. Handles inbound calls around the clock, speaks naturally, no "press 1."
- Booking and rescheduling. Finds an open slot, books, reschedules and cancels on its own.
- Sync with the schedule and PMS. Works on top of the clinic's system (e.g. Dentrix) — data is always current.
- Emergency triage. Recognizes acute pain and other urgent cases and escalates to the doctor.
- Reactivation. Calls dormant patients and brings them back for appointments.
- Listen in / take over. A staff member can listen to a live call and take over the conversation at any moment.
The same platform also has X-Ray AI (image analysis) and an implant planner — so Dentovox covers not only calls but part of the clinical routine too. Building assistants like this is our AI agents for business service.
Bilingual EN/ES: why it's critical in the US
In the US a huge share of patients are Spanish-speaking. A clinic that answers only in English loses part of its calls before the booking even happens: the person simply hangs up.
Dentovox detects the caller's language on the fly and continues in English or Spanish with no switching and no second receptionist. For the clinic this is literally market expansion: the same call flow converts into more appointments because no patient is filtered out by a language barrier.
Integration with the clinic's schedule and PMS
An AI front desk is useless if it lives separately from the clinic's system. A core part of Dentovox is integration: it works on top of the schedule and PMS (e.g. Dentrix), sees real open slots and writes appointments straight into the system.
That means no double bookings, no gap between "what the bot said" and "what the doctor sees," and the front desk doesn't have to move anything by hand. When the schedule is the single source of truth, the AI and the human team never fall out of sync.
An example workday from the clinic dashboard
To show the logic in numbers, here's an example of a single day from a Brooklyn clinic's dashboard (this is an illustration of one specific day, not an averaged or guaranteed result):
- 47 calls handled in a day.
- 18 of them caught after-hours, when the live front desk was already closed.
- $4,280 in recovered revenue for the day — appointments that would otherwise have gone to competitors.
- 14 appointments created, including 3 new patients.
The key number here is 18 after-hours calls. That's exactly the flow that simply vanished with a human-only front desk — every one of those is a call that used to go unanswered.
What this means for the clinic owner
For the owner, Dentovox isn't "technology for its own sake" — it's a direct effect on revenue and workload:
- Zero missed calls — every inbound is handled, even at night and on weekends.
- An unburdened front desk — the AI takes the routine calls, human staff focus on patients at the counter.
- Reactivated dormant base — outbound reactivation brings in appointments without paying a calling agent.
- Control — you can listen to any call and take it over at any moment.
In effect it's another receptionist who works 24/7, doesn't get sick and doesn't take vacation.
How to order a similar AI front desk
Dentovox is our own product, and we build similar AI front desks for a specific business: dental, medical, salon, service. The logic is the same — voice inbound and outbound, booking, integration with your system.
How we bring products like this to market — and why we understand them from the inside — is in our marketing for AI products service. And because more buyers now ask AI which vendor to choose, we also make sure products like Dentovox are visible in AI answers — see how to appear in ChatGPT answers.
